Administrative Officer

Support to Life (STL) is an independent humanitarian agency working in the field of disaster risk reduction, disaster preparedness, and emergency response in Turkey and the surrounding region.  With an emphasis on community participation, STL works at a grassroots level to build local capacity, mitigate the risks and impact of disasters, and support those in need in meeting their basic needs and rights.

In line with its mandate STL currently has the following main activities:

• Refugee Support Program: in response to the increasing number of refugees in Turkey, STL is supporting refugees living outside camps in the Turkish border area through a food security programme providing psychosocial support through the establishment of Community Centres;
• Child Protection Program: STL has been providing protection services and psychosocial care  for Syrian children and children affected by seasonal agricultural migration. Targeting both at-risk and working children among the refugees as well as the host community, STL has been supporting children’s education through life skills activities, awareness raising sessions and workshops.
• Civil Society Disaster Platform: in collaboration with partners, STL has launched a platform that will bring together civil society actors in sharing information and coordinating projects related to disaster management in Turkey.

STL is maintaining a strategic partnership with Diakonie Katastrophenhilfe (DKH), a Germany based Humanitarian NGO. In line with their mandate, STL and DKH respond to the needs of refugees in Turkey, Jordan Iraq and Lebanon. Disaster Risk Reduction Programs are supported in Afghanistan, Pakistan and Palestine.

STL is recruiting an Administrative Officer to support the DKH funded programs in the region.

Main Areas of Responsibility:

Administration, Office Management, Logistics:

• General administrative support to the Program Coordinator and Program staff
• Support to non-Turkish speaking staff with translation and interaction with Turkish authorities/actors
• Monitor that the organization’s policies, guidelines and Code of Conduct are implemented
• Support in finance document preparation
• Ensure the maintenance of the office services, and proper functioning of the Office's IT infrastructure (Laptops, Desktops, printers, servers, modems, etc.).
• Supply the office with the necessary goods and services (stationery, furniture and technical equipment)
• Coordination of office’s renovation works when necessary
  

Event Planning/ Travel Organization:

• Preparation of the training/meeting venue
• Provision of necessary equipment, materials and refreshments for events
• Ensure that new staff and visitors are assisted with travel planning
• Supporting/Arranging the necessary paperwork for residence permit and visa applications for new staff
• If necessary, meet the guests from the airport and accompany them to relevant destination
  

Essential

• Relevant bachelor's degree (i.e. economics, business, management, finance or other relevant subject)
• At least 2 years working experience in a logistics management capacity preferably with an international non-governmental organization (INGO)
• Excellent written English skills and very good spoken English;
• Excellent computer skills and competency in Word, Excel and PowerPoint;
• Excellent organizational skills and ability to determine priorities;
• Detail-oriented with good multi-tasking abilities;
• Diplomatic, patient and persistent personality;
• Good team player and outstanding interpersonal and social skills;

Desirable

• Strong motivation for working in a  Humanitarian NGO, good understanding of humanitarian principles
• Strong motivation to take up other duties, possibly also program related.
• Knowledge of Turkish regulations, procedures and requirements
