We are seeking anExecutive assistant and HR adminfor Integral Media Danismanlik. Candidates will perform following responsibilities for the performance of the administrative/Operational work including HR responsibilities of Integral Media Danismanlik. She/he who overseeing all support services and operations being performed and directly supervise the staff, solving problems that may arise onsite and if not on the spot then report to the GM, investigate any occurrences and immediately take the necessary steps to prevent any re occurrences and delegate the responsibility to the appropriate member of staff, provide effective supervision of staff to ensure productivity and efficiency in the operation of the Integral Media and its activities, ensuring working standards are maintained standards of performance from staff, cooperate with key personnel in the managers absence to deliver the service, arrange and supervise the erection, movement and maintenance of equipment within the premises with particular emphasis on health and safety standards, ensure all administrative procedures are followed within the Integral Media in conjunction with the quality guidelines, liaise with management, staff and members of the Integral Media as appropriate, contribute to the Company public image by ensuring the staff under direct control maintains a friendly, efficient and helpful approach when dealing with members of the Integral Media, with particular reference to personal presentation, a complete detailed report has to be written in the duty manager logbook.

Languages:

  • English: Excellent in all level.
  • Turkish: Excellent
  • Arabic:  Preferable Speaking

 

Required Skills and Qualifications:

  • Degree in Business Administration, Human Resource or related fields.
  • Minimum 2 years experience.
  • Excellent &knowledge of Microsoft Office.
  • Possessing Excellent skills in writing reports in both Turkish and English also Speaking Arabic is preferable.
  • Good organization skills
  • Good time management
  • Ability to thrive under pressure and willingness to handle significant workload.
  • Strong organizational skills and ability to prioritize workload.

 

 

Tasks and responsibilities:

 

1) Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution.

2) Open, sort, and distribute incoming correspondence, including faxes and emails.

3) File and retrieve corporate documents, records, and reports.

4) Greet visitors and determine whether they should be given access to specific individuals and maintain guest logs.

5) Prepare responses to correspondence containing routine inquiries.

6) Perform general office duties such as ordering supplies, maintaining records of management systems, and performing Human Resource Duties.

7) Prepare agendas and make arrangements and maintain board meetings for committee, board, and other meetings.

8) Make appointments, travel arrangements and accommodations.

9) Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors.

10) Manage and maintain executives' schedules.

11) Prepare, reports, memos, letters and other documents, using word processing, spreadsheet, database, and/or presentation software.

12) Monitor Integral Media policies and procedures for offices and/or organizations.

13) Review operating practices and procedures in order to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.

14) Interpret Integral Media policies and procedures for employees.

15)Assist with day-to-day operations of the HR functions and duties

16) Compile and update employee records (hard and soft copies)

17) Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc)

18) Coordinate HR projects (meetings, training, surveys etc) and take minutes

19) Deal with employee requests regarding human resources issues, rules, and regulations

20) Assist in payroll preparation by providing relevant data (absences, bonus, leaves, etc)

21) Communicate with public services when necessary

22) Properly handle complaints and grievance procedures

Conduct initial orientation to newly hired employees
