Sales and Marketing Administrative Assistant

Rising 34 stories in Istanbul`s prestigious Etiler district, Le Méridien Istanbul Etiler will be one of the city`s most impressive contemporary landmarks. The hotel is planned to open in November 2011 and will be featuring 259 guest rooms in a modern design with panoramic views of the Bosphorous and the city. Facilities will include 2.300 m² conference space, 1.250 m² food and beverage facilities and a 1.500 m² spa & fitness center with indoor and outdoor pool.
Assists Managers in all aspects of the sales and closing process by becoming directly involved in all business relationships transactions.(reading all documentation in related areas)
Able to handle, prioritize and execute all administrative work. Incoming calls / faxes and email, should be attended immediately to the specific area of responsibility, in such a manner that ensures complete satisfaction for both customers and colleagues.

- Accept calls , takes note, traces appointments for Director of Sales and Marketing, as well as the Sales and Marketing Department.
- Keeps the archives in order and up to date.
- Has an excellent knowledge of the rates and all facilities of the Hotel.
- Is aware of the special promotions of Sales & Marketing and Food & Beverage.
- Coordinate in-house groups on an as needed basis.
- Finalize arrangements of meetings/programs booked by Sales Managers and those turned over by Director of Sales and Marketing.
- Prepare Weekly and Daily Event Sheets; prepare Group Information Sheets when necessary.
- Participate weekly Sales and Marketing Meetings, takes notes and prepares the minutes of the meeting.
- Prepares the attendance sheet.
- Create and maintain files.
- Send thank you letters and group comment cards for in-house groups.
- Ensure that adequate supplies of sales collateral are on hand and kept in order.
- Follow up Preference Plus Program monthly and makes sure to send the points to members on time.
- Very good command of English; an additional language will be preferable.
- Proficient use of Windows and Microsoft Office package.
