Job Description

We are looking for an Executive Assistant having competency and required skills for the following requirements to support our team:

  • Manage professional scheduling for management, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics;
  • Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives;
  • Manage, coordinate, and arrange travel and travel-related activities, including hotel booking, transportation, and meal coordination for staff;
  • Answering phones and routing calls to the correct person or taking messages;
  • Opening, sorting and distributing incoming faxes, emails, and other correspondence;
  • Perform administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contact database;
  • Using various software, including word processing, spreadsheets, databases, and presentation software;
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business;
  • Organize team communications and plan events, both internally and offsite;
  • Greeting visitors and deciding if they should be able to meet with executives;
  • Helping prepare for meetings;
  • Provide general administrative support.

Required Skills

  • Having diploma from relevant discipline;
  • Minimum five years experience in administrative role reporting directly to management;
  • Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems;
  • Proficiency in procurement processes;
  • Professional level verbal and written communications skills both in English and Turkish;
  • Strong time-management skills and ability to organize a daily workload by priorities;
  • Must be able to meet deadlines in a fast-paced quickly changing environment;
  • A proactive approach to problem-solving with strong decision-making skills.
