Summary of Duties
Under general supervision, provides multi-task support services to Immigration, Refugees and Citizenship Canada’s (IRCC’s) programs and operations. Exercises initiative in seeking out information to complete files or tasks. Requires a general knowledge of established guidelines. Provides routine information and assistance to internal and external clients to facilitate their compliance with requirements, or their understanding of application processes. Enters and validates information in departmental on-line systems; reviews applications and documents; identifies shortcomings including incomplete applications, missing, or irregular information. Processes fee payments and prepares documents for refunding of fees. Maintains filing system, uses internal systems and accesses departmental websites to search or track information. Utilizes office equipment such as a computer, photocopier, scanners, fax machines, specialized printers, biometric capturing equipment, and telephones. Researches internal and external sources to support information gathering for the processing of files or applications and to support program integrity. Assists Officers in reporting and liaison, program integrity, promotion and recruitment activities or other support to clients. Translates and interprets written and verbal information as required. Provides assistance and guidance to colleagues and shows new employees how to perform duties.

Essential Qualifications
Candidates will initially be screened based on the essential qualifications in relation to education, experience and languages. They must demonstrate clearly in their cover letter and CV how they meet each of these essential qualifications. Only those candidates who meet all the Essential Requirements will proceed to the next stage of the process.

Education:

  • Technical Diploma or University Degree from a recognized institution.
Language:
  • Fluency in English (both written and oral)
You must provide evidence of your English language ability as follows:
  • A recent language test score from IELTS showing each score at 7 or above*, or
  • Proof of graduation from an English language medium high school, or
  • Proof of graduation from an English language medium university, or
  • Proof of at least two years of continuous work experience in an office where English was the principal language of work.
*IELTS TRF examination date must be within the past two (2) years.

Experience:
  • Two years of experience working in an office environment, with a high degree of comfort and familiarity using word processing software (MS Word, Excel, etc.) and office equipment. This experience can be cumulative or consecutive.
Rated Requirements
Candidates must also meet the Rated Requirements shown below, which will be assessed through any of the following:written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment. Unless indicated, rated requirements apply to all positions.

Knowledge:
  • Basic knowledge of Canadian Immigration Programs.

Asset Qualifications
Candidates may also be screened against the Asset Qualifications. Preference may be given to candidates who meet these asset qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and/ or CV.

Language:
  • Fluency in French (both written and oral)
  • Fluency in Turkish (both written and oral)
  • Fluency in Arabic (both written and oral)
  • Fluency in Farsi (both written and oral)
  • Fluency in Dari (both written and oral)
  • Fluency in Pashto (both written and oral)
Experience:
  • Previous experience working in the immigration or consular section of an embassy or consulate, in a Visa Application Centre, providing administrative support for case management in an International Organization, or working in a domestic IRCC office.
  • Experience using the Global Case Management System (GCMS) to track temporary and permanent immigration applications
Operational Requirements
  • Hours of Work: 37.5 hours per week, 5 days a week
  • Ability to work overtime (compensated)

  • Ability and willingness to travel

Conditions of Employment
Conditions of employment must be met or complied with before being appointed to a particular position, and are to be maintained throughout the employment while being the incumbent of this position.

  • Ability to obtain and hold a valid work authorization covering the entire employment period. If the employment is indeterminate, the work authorization should be permanent or itself lead to a permanent work authorization.
